2. What information we collect
Depending on how you interact with us, we may collect:
Information you give us directly
- Your name and the name of your business
- Your email address and phone number
- Your business location and the service or plan you're interested in
- Anything you choose to tell us in a message or enquiry, or during a call
Information we collect when providing our service
- Access to and data from your Google Business Profile and any other review platforms you ask us to manage on your behalf
- Publicly available reviews left about your business, including the names or usernames shown on those reviews by their authors
- Records of the responses and review requests we send on your behalf
Information collected automatically
- Basic technical data when you visit our website, such as your browser type and general location, where cookies or analytics are used (see section 8)
3. How and why we use your information
We use your personal information to:
- Respond to your enquiry and provide your free reputation audit
- Set up and deliver the services you sign up for
- Monitor, respond to, and generate reviews on your behalf
- Send you your monthly reputation reports and account updates
- Take payment and keep proper business and tax records
- Contact you about your service, or, where you've agreed, about other services that may be relevant
- Meet our legal and regulatory obligations
4. Our lawful basis for using your information
Under UK GDPR, we rely on the following lawful bases:
- Contract: where we need your information to provide the service you've asked for.
- Legitimate interests: to respond to enquiries, run and improve our business, and carry out limited business-to-business marketing, provided this does not override your rights.
- Consent: where you have given it, for example for certain marketing communications. You can withdraw consent at any time.
- Legal obligation: where we must keep records to comply with the law, such as tax and accounting rules.
5. Who we share your information with
We do not sell your personal information. We share it only where necessary, with:
- Service providers who help us operate, such as our website host, email provider, form provider, and review and scheduling tools. These providers act on our instructions.
- Review platforms such as Google, where we manage your profile on your behalf.
- Professional advisers such as accountants, where required.
- Authorities or regulators where we are legally required to do so.
Some of these providers may process data outside the UK. Where they do, we take steps to ensure your information is protected by appropriate safeguards, such as approved contractual terms.
6. How long we keep your information
We keep your information only as long as necessary for the purposes set out above. In practice this means:
- Enquiries that don't become clients: we typically keep these for up to 12 months, then delete them.
- Client records: kept for the duration of our work together and for as long afterwards as we're legally required to (for example, financial records are generally kept for six years).
7. Your rights
Under UK data protection law, you have the right to:
- Be informed about how your data is used (this policy)
- Request a copy of the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data in certain circumstances
- Object to or restrict how we use your data
- Withdraw consent where we rely on it
- Ask us to transfer your data to another provider where applicable

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.
8. Cookies
Our website uses only the cookies necessary for it to function and, where enabled, basic analytics to help us understand how the site is used. We do not use advertising or tracking cookies without your consent. You can control or delete cookies through your browser settings at any time.
9. Businesses outside the UK
Where we work with businesses in other countries, including the United States, Canada and Australia, we handle personal information in line with this policy and take reasonable steps to comply with the data protection and marketing laws that apply in those countries. If you are contacting us from outside the UK, you consent to your information being processed in the UK where our business is based.
10. Changes to this policy
We may update this policy from time to time. When we do, we'll change the "last updated" date at the top of this page. Significant changes will be highlighted clearly.
